When a potential customer calls a plumber, a dentist, a roofer or a salon and nobody answers, they rarely leave a voicemail. They hang up and try the next result on Google. For a service business, a missed call is often a missed job.

Missed call text back fixes this. The moment a call goes unanswered, the caller automatically gets a friendly text from your number. It feels personal, it arrives while they still have the phone in their hand, and it moves the conversation to a channel where you can reply when you are free.

What the message should say

Keep it short, human and useful:

Hi, this is Sam from Bright Plumbing. Sorry we missed your call. How can we help? You can reply here or book a time: [link]

A good message does four things: names the business, apologises briefly, asks an open question and offers a next step. Avoid long paragraphs and avoid sounding like a robot.

How to build it in GoHighLevel

The exact menu names change as the platform updates, but the logic is always the same.

  1. Set up your phone number. Use a number connected to your GHL account, or forward your existing business number to it.
  2. Complete messaging registration. For US numbers, finish A2P 10DLC registration first. It protects your delivery rates.
  3. Create a workflow that starts with a missed or unanswered call trigger.
  4. Add a condition for business hours so you can send one message during the day and a different one at night.
  5. Add the text message action with the message above, using the contact's first name when it is known.
  6. Tag the contact (for example "Missed Call") and add them to your pipeline as a new opportunity.
  7. Notify your team by email or app notification so someone follows up.
  8. Stop the workflow when they reply, so the caller does not get automated messages while a person is talking to them.
  9. Test it by calling your number from a different phone and leaving it unanswered.

Make it work better

  • Reply fast to answers. The automation opens the door; a person still needs to walk through it.
  • Add a booking link for businesses that sell appointments.
  • Use a second message a few hours later if there is no reply, then stop. Do not keep chasing.
  • Track the results. Count how many missed calls turn into replies and bookings each month.

Rules to respect in the USA and UK

Text messaging is regulated, and the rules differ by country.

  • USA: Register for A2P 10DLC, identify your business, keep messages relevant to the person's enquiry and honour opt-outs such as replying STOP.
  • UK: Marketing messages need valid consent under the UK's privacy and electronic communications rules. A direct reply about the caller's own enquiry is different from a promotion, but you should still be clear about who you are and provide a way to opt out.

This is general information only. If you are unsure, ask a qualified advisor about your situation.

Is this right for your business?

It works best for businesses where phone calls turn into revenue: trades, clinics, salons, auto services, legal and home services. If your team is often on a job, driving or with a client, you are probably losing calls right now.
